This Privacy Policy explains how esignink.com (“esignink”, “we”, “us”) collects, uses, and protects information when you use our electronic signature, remote notarization, and related services (the “Services”).
Information we collect
- Account information — name, email, company, and password (handled by our authentication provider).
- Documents & signatures — files you upload, fields you place, and signature data captured during signing.
- Signer information — names, emails, phone numbers, and verification data of recipients you invite.
- Audit data — IP address, browser/user-agent, timestamps, and consent records collected to make signatures legally verifiable.
- Payment information — processed by our payment provider (Stripe); we do not store full card numbers.
- Usage data — how you interact with the Services, for security and product improvement.
How we use information
- To provide e-signature, notarization, and document delivery functionality.
- To generate tamper-evident audit trails and certificates of completion.
- To verify signer identity (including SMS one-time passcodes where enabled).
- To process payments and manage subscriptions.
- To detect, prevent, and respond to fraud or abuse.
- To communicate with you about your account and the Services.
Sharing & service providers
We share information with service providers who help us operate the Services, including hosting, database/authentication, email delivery, SMS delivery, payment processing, and (where you request it) third-party notarization providers. We do not sell your personal information.
AI features (Ultra and Enterprise)
On our Ultra and Enterprise plans, certain features use artificial intelligence to help you work with documents — for example, automatic field placement (Auto-Tag), plain-language document summaries, AI-assisted contract drafting, in-document signing assistance, risk and red-flag detection, compliance checks, and multilingual translation.
To provide these features, document text and related metadata are processed by our AI provider (Anthropic) via their API. Our AI provider does not use this content to train their models when accessed through their API. AI processing only occurs when an AI feature is actively invoked — not for ordinary document signing.
AI features are off by default on Starter and Pro plans and are not available there. Enterprise customers may request additional controls, including the option to disable AI features entirely or to route AI requests through region-specific endpoints. AI-generated outputs (summaries, drafts, suggestions) are informational and may contain errors. They are not legal advice and should be reviewed by a qualified human before being relied upon.
Data retention
We retain completed documents and their audit trails for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account data subject to legal retention requirements.
Security
We use industry-standard safeguards including encryption in transit, access controls, and signed, time-limited URLs for stored documents. No method of transmission or storage is 100% secure.
Your rights
Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data. To exercise these rights, contact us at the address below.
International transfers
Your information may be processed in countries other than your own. Where required, we implement appropriate safeguards for such transfers.
Changes to this policy
